The Industry Room will be in Exhibit Hall C of the Walter E. Washington Convention Center (WEWCC). Otakon members will enter the exhibition hall and pass through industry booths before they can move on to the adjoining Dealer's booths.
Industry space is intended primarily for larger-scale trade-show style displays rather than the more restricted pipe-and-drape space used by dealers. If room is available, we will, however, allow assignment of smaller, more traditional spaces. Pricing is based on 10'x10' blocks. However, there are fewer restrictions on the layout and space usage.
Industry space is limited, and will be assigned on a first-come, first-served basis and as necessary to maintain adequate flow and spacing throughout the room. We will try our best to accommodate your location preference. However, it may be necessary to relocate Industry areas, and we reserve the right to do so within reason.
Industry room space is charged a base rate of $1,800 per 10'x10' space booked and paid at least four weeks before the convention. End cap placement is available for an additional $500 per end cap space.
Booth rates are negotiable. We are willing to offer discount s in consideration of efforts by your organization on behalf of Otakon. Typical industry contributions would include providing guests of honor, providing significant programming content such as video premieres, and assisting with other promotional events that enrich the Otakon experience for our members. Discounted rates, will be accompanied by a contractual agreement which will the amount of discount based on contribution(s) received by Otakon.
We welcome your suggestions and contributions, but please understand that our organization's basic philosophy prevents us from accepting certain types of contributions.
To reserve space, you must fill out the request form through Cadmium. Our Industry Relations Liaison will then contact you with a confirmation or a request for additional information. After confirming the reservation of a space, we will generate and send you an invoice. We will hold your reservation for thirty (30) days awaiting payment of the total agreed fee. If payment is not received within that time, the space may be released for sale to another organization. DO NOT send payment unless you have been contacted by the Industry Exhibitions booking staff, have reserved a space, and have received an invoice.
Payment information will be included in the invoice. In general we can accept payments in the form of a business check, certified bank check, or money order payable to "Otakorp, Inc.", payment via credit card, or through and ACH or wire transfer.
